Terms of Service
Last updated: October 21, 2026
These terms are the agreement between you and GrantSherpa ("we", "us") for the use of the GrantSherpa website, dashboard, emails and related services (the "Service"). By creating an account you agree to them. If you are signing up for an organization, you confirm you are allowed to bind it to these terms.
1. What the Service is
GrantSherpa collects grant opportunities from public sources, screens them against the profile you give us, shows the evidence behind each match, and helps you prepare applications, check budgets, record submissions and keep track of award commitments and reports. It is a research and preparation tool. It does not submit applications, contact funders, or make decisions for you.
2. Your account
You need a working email address to use the Service; confirmation links, digests and reminders go there. Keep that inbox and your password secure. You are responsible for everything done through your account. One account is for one organization. The consultant edition lets you invite a grant writer, or be invited to work in another organization's workspace; whoever you invite can see that organization's data until you end their access.
3. Free plan, paid plan and payment
The free plan has no time limit and needs no payment details. It shows your first matches in full and a limited number of AI-generated documents, and the funding search shows historic results only; the limits are stated on the pricing page and in your dashboard. The paid plan removes those limits.
The paid plan is billed monthly in advance through Stripe at the price shown when you subscribe. Prices may change with at least 30 days' notice by email; the new price applies from your next billing period after the notice. Fees are non-refundable except where the law requires otherwise or we say so in writing.
You can cancel at any time from the dashboard or by emailing us. Cancellation takes effect at the end of the period you have paid for; after that your account returns to the free plan and nothing is deleted. If a payment fails we will let you know and may return your account to the free plan until it is resolved.
4. Using the Service responsibly
You agree to:
- upload only documents you have the right to use, and only facts about your own organization that are true;
- read and check every brief, draft, budget figure and report before you rely on it or send it to a funder; you are the applicant and the author of anything you submit;
- follow the rules of each funder and of any grant you receive;
- not share your account with people outside your organization other than through the invitation feature, and not resell access to the Service;
- not scrape, bulk-download beyond the export features we provide, or try to break, overload or reverse-engineer the Service, or use it for anything unlawful.
5. Accuracy and no guarantees
Grant notices come from government and funder sources as they publish them, and those sources make mistakes and change on their own schedules. Eligibility verdicts, fit summaries, extracted requirements, draft text, budget rules, document summaries and contact details are produced by automated systems that can be wrong, and we label what the source did not state as "unknown" rather than guess. Nothing in the Service is a legal or eligibility determination, and nothing predicts whether an application will be funded. We provide the Service "as is" and "as available", without warranties of any kind, express or implied, including that it will be uninterrupted, error-free, or that any match will lead to an award. Coverage of funding sources is not complete; every search shows what was and was not checked.
6. Your data
Your profile, documents, facts, drafts, budgets, submission and award records belong to you. You give us permission to use them to run the Service for you, as described in our Privacy Policy. We do not use your documents to train models or to serve other customers. You can export your data and delete your account from the dashboard at any time.
7. Our content
The Service, its design, software and text are ours or our licensors'. You get a limited, non-exclusive, non-transferable right to use the Service for your own organization while your account is in good standing. Public grant notices remain public records; we claim no ownership of them. This product uses the Grants.gov API but is not endorsed or certified by the U.S. Department of Health and Human Services.
8. Suspension and ending the agreement
You can stop using the Service and delete your account at any time. We may suspend or close your account if you break these terms or if we have to for legal or security reasons. We may also stop offering the Service altogether with at least 30 days' notice and a refund of any prepaid fees for the period after shutdown; you will be able to export your data before then.
9. Limits on our liability
To the fullest extent the law allows: we are not liable for lost grants, lost funding, lost data, missed deadlines, or any indirect, incidental, special or consequential damages arising from the Service or from anything you submit; and our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim arose. Some jurisdictions do not allow some of these limits, so they may not fully apply to you.
10. Indemnity
You agree to defend and hold us harmless from claims, losses and expenses (including reasonable legal fees) that arise from what you submit to funders, your breach of these terms, or your violation of any law or third-party right in connection with the Service.
11. Changes to these terms
We may update these terms. For significant changes we will email account holders at least 14 days before they take effect. Using the Service after that date means you accept the new terms. If you do not agree, cancel before they take effect.
12. Governing law and disputes
These terms are governed by the laws of the State of New York, without regard to its conflict-of-law rules. Any dispute will be brought in the state or federal courts located in New York, and both of us agree to their jurisdiction. Before filing anything, please email us; most problems can be sorted out in a conversation.
13. General
These terms and the Privacy Policy are the whole agreement between us about the Service. If a court finds part of them unenforceable, the rest still applies. You may not transfer your account or these terms to someone else without our consent; we may transfer them as part of a sale or merger of the business. Our not enforcing a term is not a waiver of it.
14. Contact
